Setting Up the 2012 Filing System

It is time once again to archive the old to bring in the new. Bundle up all 2011 files and place them in a labeled archive box. I use a plastic storage box from Staples since it stacks well and keeps the bugs out. I keep 10 years on hand and then rotate through the boxes by shredding the oldest and then reusing the box for the current year.
I have 11 boxes; 10 for annual records and the 11th is for Important Papers like tax returns, marriage certificates, original mortgage paperwork, etc. Paperwork that I need to keep and not shred goes in the box. (See also: “What Paperwork Should I Keep?“)
When the 2011 files have been archived, it is time to set up the 2012 file system with new labeled file folders. I use the January-December filing system with an extra folder for Tax Info. It is easy to collect and file paperwork with fewer folders. Using only 13 files cuts filing time down to only a few minutes and takes the chore out of staying organized. (See also: “
Putting The File System Together“) A clean, empty file drawer is so refreshing! It fills up fast but starts out so neat and orderly.
Once you have established the 13 regular files, you may decide that you need a few permanent files that you do not archive each year. These would be files for insurance policies, 1099 forms, lease agreements or anything that you would need to reference at any time during the year. When the paperwork has expired or been replaced, I then file it in the appropriate folder for archiving or shred it if it has been replaced or is no longer necessary. These files are usually towards the back of the file drawer.
Most papers, receipts, and statements can be filed by month saving time. Keep the clutter and chaos out of your office and put the filing system together today.
